Plain English: what we ask for when you enquire, why we need it, who sees it and how to get it removed.

Who we are
LH Grand Pianos Limited is the company behind this website. We also refer to ourselves as LH Grand, 'we' or 'us'. We are the data controller for the personal information described here.
This notice explains what we collect when you use this website, enquire about a hire or book a video consultation, why we hold it and what rights you have.
What we collect
We only ask for what we need to quote for and deliver a hire.
- Enquiry and booking details: your name, email address, phone number, the dates you want, the venue address and postcode, event type, access notes and anything you write in the message box.
- Video consultation requests: your name, contact details, preferred date and time slot, and which platform you would like to meet on.
- Correspondence: emails, messages and call notes relating to your enquiry or hire.
- Billing information for confirmed hires: invoicing name and address, and payment references. We do not take card details on this website.
- Technical data: IP address, browser and device type, pages viewed and referring page, collected in aggregate so we can keep the site working and see which pages are useful.
Why we use it, and our legal basis
- To answer your enquiry, check availability, prepare a quotation and arrange a video call — steps taken at your request before entering a contract.
- To deliver, tune and collect the instrument, and to invoice you — performance of our contract with you.
- To keep records of hires, insurance and instrument condition, and to meet accounting and tax obligations — legal obligation and our legitimate interest in running the business.
- To improve the website and our service, and to prevent fraud or misuse — our legitimate interests, balanced against your privacy.
- To send occasional updates about instruments or availability — only where you have asked for them; you can unsubscribe at any time.
What we do not do
We do not sell, rent or trade your personal information. We do not run advertising or profiling on this site, and we do not use your enquiry details for anything other than the purposes above.
Who we share it with
We share the minimum necessary with the people who help us deliver a hire: our delivery crew and piano technicians, the venue where access must be arranged in your name, our accountants and insurers, and the service providers that host this website, our database and our email. These providers act on our instructions and cannot use your information for their own purposes.
We may also disclose information where the law requires it, or to establish or defend a legal claim.
Where your information is held
Our website and database are hosted on servers within the UK or the European Economic Area. Where a provider processes data outside the UK, we rely on UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses.
How long we keep it
Enquiries that do not lead to a booking are kept for up to 24 months so we can pick up the conversation if you come back, then deleted. Records of completed hires, invoices and related correspondence are kept for seven years to meet accounting, tax and insurance requirements. Marketing consents are kept until you withdraw them.
Cookies
This site uses a small number of strictly necessary cookies and similar storage so pages load correctly and so the admin area can keep you signed in. We do not use advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings; parts of the site may then stop working.
Security
Access to enquiry and booking records is restricted to the people who need it and protected by individual accounts and access rules. Data is encrypted in transit. No system is completely secure, so we also keep only what we need and delete it when it is no longer required.
Your rights
Under UK GDPR you can ask us for a copy of the information we hold about you, to correct anything inaccurate, to delete it where we no longer need it, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent where we relied on it. We respond within one month.
If you are unhappy with how we have handled your information, please tell us first so we can fix it. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Children
This website is intended for adults arranging piano hire. We do not knowingly collect information from children under 16. Where a school or conservatoire books with us, we deal with staff rather than pupils.
Changes to this notice
If we change how we use personal information we will update this page and the date below, and tell you directly where the change materially affects you.
